Shop Floor Notes: Turn Tribal Knowledge Into Job History
Good shop floor notes are not random comments. They are operating memory tied to jobs, travelers, blockers, QC, and repeat work.

Shop floor notes are where tribal knowledge either becomes reusable history or disappears.
The best notes capture what happened, where it happened, what evidence exists, what changed, and what the next run should do differently. The worst notes are fragments such as "watch this" or "ask Mike."
AIURION OS currently captures notes in several operational records, including traveler setup and signoff notes, material and tooling requirements, production phases, vendors, and clients. It does not yet provide one unified, searchable shop-floor knowledge base, so the shop still needs a convention for where each kind of note belongs.

What Notes Should Capture
Useful notes can cover:
- setup lesson
- tool or fixture issue
- material behavior
- customer-specific preference
- unexpected operation risk
- QC observation
- rework cause
- outside process warning
- repeat-job recommendation
The subject is only half the record. A reusable note also needs the job, operation or phase, observation, evidence, action taken, and future instruction. Tie it to the closest operational record instead of putting every lesson in a generic comment field.
Why Notes Disappear
Notes disappear because capture is inconvenient or disconnected.
Common issues:
- paper traveler notes never get digitized
- whiteboard notes are erased
- texts never become job history
- operator comments cannot be found from the next job
- repeat-job lessons do not reach estimating
NIST's digital-thread work focuses on making lifecycle information available across engineering and manufacturing activities [S1]. A structured shop-floor note is a small, practical piece of that continuity.
A Note That Can Survive The Next Run
Use this six-part structure:

Weak note:
Bore chattered. Watch it next time.
Reusable note:
Job J-2418, revision C, operation 20, machine VMC-2. Chatter appeared during the final 0.500-inch bore pass. Two parts showed visible marks; QC measurement remained within the drawing limit. Replaced the worn boring insert and reduced stick-out before completing the remaining 22 parts. Before the next run, verify insert condition and record maximum stick-out in the operation setup note. No customer or delivery impact on this run.
The stronger note separates observation from action, gives the next operator a check they can perform, and avoids declaring an unsupported root cause.
The Repeat-Job Test
When a repeat job comes in, ask:
- What did we learn last time?
- What setup issue should we avoid?
- What QC concern appeared?
- Did the quote assumptions change?
- Did the customer complain or praise anything?
If the answer depends on finding the same person, notes are not doing their job. If the answer exists but no one knows which record to open, the capture convention is still incomplete.
Where AIURION OS Fits
AIURION OS provides several places to keep notes close to the work:

- material and tooling notes for acquisition or readiness context
- Production phase notes for blockers, owners, and handoffs
- QC issue and action notes for inspection evidence

These records retain useful context, but they are not a unified note knowledge base. AIURION does not currently search every note location and automatically promote a lesson into the next quote or traveler. A person must review the prior record and place the approved next-run instruction where the next team will encounter it.

Pick one job your best operator ran last month. Ask what they learned, rewrite it using the six-part note structure, and put it in the record the next operator will actually open. Then check whether estimating or QC also needs a separate approved update.
